Administration

Human Resource Unit

The primary function of the Human Resources Unit, AFSA is to provide a professional service that enables GMI and its employees to meet the institute’s overall objectives and by doing this, it provides the following services:

Health and Safety Unit

Occupational Safety and Health is committed to work with GMI community in the prevention of injuries and illnesses in the workplace, in compliance with occupational health and safety legislation and in the development of a proactive safety culture within GMI.

Our specific role is to initiate, develop and oversee GMI's overall health and safety programs in consultation with GMI community.

The duties of the Occupational Safety and Health include:

  • Initiating and developing policies, procedures and programs to satisfy legal requirements
  • Providing occupational safety and health advice and consultancy services to GMI departments and individuals and assisting in the resolution of local occupational safety and health issues
  • Arranging appropriate medical monitoring of staff potentially exposed to specific hazards
  • Measuring and assessing specific workplace hazards
  • Monitoring and analyzing accident and injury experience and occupational ill health and providing advice on appropriate risk reduction measures
  • Identifying, developing and delivering appropriate occupational health and safety related training courses
  • Monitoring and reporting on the occupational safety and health performance of departments
  • Maintaining occupational health and safety records in line with legislative requirements
  • Liaison with external bodies such as regulatory authorities
  • Assessment of plans for new buildings or alterations to existing buildings with respect to occupational safety and health matters
  • Fulfilling statutory reporting requirements in relation to occupational safety and health matters
  • Formulating and implementing strategies and programs to promote interest in, and action on, occupational safety and health issues.

Training and Development Unit

Training & Development Unit is responsible for planning and managing company-wide training and development activities which includes development, execution of training plans and implementation of training policies to realize organization’s corporate plans and goals.

Student Residence Unit

The Student Residence Unit is responsible for providing a comfortable and conducive learning environment for the hostel residents, short term course participants and tenants. At the same time, it also takes care of the residents’ affairs, welfare, safety, security, activities, discipline, facilities, maintenance, inventory, wardens’ affairs and Hostel Committees.

German-Malaysian Institute Hostel is situated at Zone A. It is equipped with modern and comfortable facilities. It has 6 accommodation blocks consist of 11 and 5-storey high building with total of 510 rooms. Maximum capacity of resident is 3,010 at one time. Each 11-storey building can accommodate 582 students while the 5-storey building can only accommodate 100 students.

Objective

  1. To provide a conducive environment for the hostel residents.
  2. To nurture a culture of living in a community and be able to interact between each other.
  3. To work hand-in-hand with living in members in taking care of their needs, safety, cleanliness and enhancing discipline among them.
  4. To build students’ personality and self esteem through collective activities.

Service

  • Daily maintenance according to needs
  • To provide basic facilities such as beds, mattresses, wardrobes, study tables and chairs etc.
  • To plan, arrange, help and monitor the hostel students’ activities.
  • To monitor and take care of the students needs in term of health and discipline

Finance

Purchasing Unit

Purchasing Unit is responsible to administer the Purchasing Functions of acquiring Goods and Services for the Institute with the objective of providing timely and quality services to all user departments.

Student Affairs

Admission & Record Unit

Admission & Record Unit coordinates all students’ of all GMI programs’ admission process from application to registration. All students’ personal files and ID card were also prepared by this unit. Admission & Record also processes students’ education loan from application to loan agreement document. This unit also prepares most students’ statistical reports required by miscellaneous organizations.

Acedemic & Record Unit

To supervise and manage Academic Administration with objective of ensuring the smooth running of administrative and delivering quality service for customer satisfaction.

Academic Administration

Administer and report student application for appeal, exemption, refer paper, amendment mark, remarking and graduation in order to ensure that the applications comply with the standard rule set and administrative is running smoothly.

Result Administration

Coordinating results endorsement meeting, analyzing student status and liaising with departments to ensure data keyed in is accurate and assist department in solving problem.

Student Convocation Administration

Responsible in graduates’ data in order to ensure the smooth running of the graduation activities and avoid error in producing Diploma & Transcript.

Student Development Unit

To supervise and support the GMI\’s goal of becoming a true learning organization through the coordination and development initiatives, by provides the guidance and tools to help the students develop to their full potential

GMI Student Development Planning

To supervise and coordinate in the design planning for development, and implementation of various program activities for the students.

Student Orientation Administration

Responsible in administration and operating task for the Orientation Program and to ensure the entire program is successful.

GMI Student Welfare Administration

Responsible in administration tasks for the Student Welfare documentation & report.

Counseling Unit

Objectives

  1. Provide professional services to students experiencing emotional crisis.
  2. Provide counseling services to students to enable them to overcome their personal problem that may be affecting their academic performance.
  3. Provide career counseling to students in order helping them making their career choices and to gain skill in career search.
  4. Provide developmental services through activities, seminars, workshop and courses for student who needs it.
